Job Title: Administrative Marketing Assistant, West Yellowstone Chamber

Location:  West Yellowstone Chamber/Visitor Center

Reports to: WYCC Marketing Committee, Marketing Director & President/CEO

Hours/schedule: 15-20 per week, part-time, may require evenings, weekends, and  Holidays 


The following is designed to help you in understanding the role and is not intended to be a definitive list of duties. The Marketing Assistant is not solely responsible for the execution of listed responsibilities. This position will work in collaboration with the Marketing Director and other staff. Flexibility in meeting the WYCC and visitors’ needs is the primary focus for all employees.

  • National Park Service and US Forest Service personnel.

  • Sales representatives and advertising vendors.


Primary Responsibilities:

Collaborating with the marketing manager, internal teams, clients and partners to assist in administration and execution of the annual marketing plan, projects and budgets for Lodging Facilities Use Tax (LUFT) funding.

Providing administrative support to the marketing director and committee.

Preparing, formatting and editing a range of documents such as budget spreadsheets.

Maintaining a marketing database.

Writing reports and similar documents.

Assisting with promotional activities.

Learning and working with various types of software for digital marketing.

Post and update online content on the company’s website and social media accounts.

Helping to organize market research.

Knowledge within a marketing context for West Yellowstone (history, economics, challenges, and opportunities) and/or work experience in West Yellowstone, Montana or the surrounding area

Ability to quickly establish good working relationships at all levels and with a diverse set of partners


Core Accountabilities & Performance Indicators

These indicators are what the WYCC can expect to see when the role is being performed to the required standard.


Ensure the mission and goals of the West Yellowstone Chamber by:

Assist in the maintenance and updating of website (

Assist in the maintenance and updating of social media accounts:  Facebook accounts (West Yellowstone Chamber, West Yellowstone Snowmobiling, Kids’N’Snow); Twitter accounts (WYellowstoneMT), YouTube (West Yellowstone Chamber), Pinterest (West Yellowstone Visitor Center), Instagram (destination_yellowstone); as well as description, content and photo updates on Google+, YahooPlaces,, and TripAdvisor.

Coordination of publicity efforts including content creation and response as needed for news releases, PSA’s, radio and television interviews, as well as on-line event calendars, blogs, and promotions.

Assist West Yellowstone Chamber members, local businesses, and organizations with the highest standards of customer service excellence in their communications with their customers.


Annual Marketing Plan:

Track existing marketing campaigns to completion and report on results

Proof all ad materials to ensure that the TAC Rules & Regulations are followed

Ensure samples of ads are received (any format)

Collect any measurable results of campaigns (specific CTR, CPC, web ad analysis, or Google Analytics impact to the website)

Assist in writing a final reports for projects from LUFT funds and grant programs including results.

Marketing and Publicity Responsibilities:

Works with any required professional agencies for high quality production and development of projects that require unique skills, such as developing our internet and social media framework.

Distribute leads from advertising campaigns.

Upload additional leads from advertising campaigns into email database (Mail Chimp). Work with VIC to ensure visitors leaving email addresses on sign-in sheets or via email are added to database. Work with TBID Marketing to add in leads from their campaigns.

Organize resources and participation in media and familiarization tours.


Website, digital, and social media responsibilities:

Assist with monthly analysis of website using Google Analytics of metrics including visitors, unique visitors, time on site, average pages visited on site, bounce rate, new versus returning visitors, geographic distribution of website visitor, top content pages, top paid and organic referral sources.

Weekly updates to News Story “Weather & Roads” post. Work with VIC staff for Things to Do post.

Assist with calendar of event listings.

Update dates on other timely Posts and un-publish when no longer applicable.

Review and publish specials and packages as submitted.

Assist in updating the content and photos on all pages with new keywords including seasonal references as needed.

Assist in implementing crisis management plans with unified public relations and community wide updates to ensure accurate, timely, and continually updated information is sent to area businesses, residents, and visitors.

Maintain crisis management communications, processes, alerts, and notifications.

Submit, Monitor and disseminate information from MOTBD’s information page:

Maintain an annual contact list for our “crisis communication” network. This is a special communications network set up to contact businesses and front-line employees if there is a significant event that could potentially impact visitors that are here or visitors that are making plans to come here. This could include a major forest fire, earthquake, road closure, change in Yellowstone access, etc.

Door-to-door delivery of crisis communication information to our local business as needed.

Create “Google Alerts” for specific keywords (west yellowstone, yellowstone, west yellowstone events, etc.). Use those alerts to create Facebook posts, Tweets, News stories for the website, and track articles about West Yellowstone and coverage from sponsored media trips.


To achieve the necessary technical and communication skills to meet visitor and customer expectations:

Work to accurately represent the policies, goals and objectives of the West Yellowstone Chamber of Commerce at the Local, State, Regional, National and International levels.

Be informed with the most current information regarding local events, calendar schedules, the Chamber website and social media pages, Chamber member businesses, and marketing campaigns for West Yellowstone.

Develop a knowledge base of visitor products and services for the region, state, surrounding states, and Yellowstone Park.

Flexibility on hours and work locations including nights and weekends, working on location with media and familiarization tours.

Community role:

Raise the level of marketing awareness and participation within our community through workshops and seminars, weekly marketing ‘blasts,’ monthly marketing reports at Chamber (CVB) meetings, and quarterly meetings of the Chamber Marketing Committee.

Work to promote MOTBD and West Yellowstone brand messaging.


Additional and other responsibilities:

Complete time card and bi-monthly reporting sheet.

Monday Marketing Blast – formatting and distribution.

Agenda’s, updates, and reports for Quarterly WY Chamber Marketing Committee meetings.

Work with Visitor Information Center personnel on new information releases and new tools such as maps.

Create “front-line” informational and FAQ sheets on upcoming events or activities to assist visitors and expand the visitor experience.

Other responsibilities as assigned.


Accountability of self-development through learning and development initiatives in order to achieve Chamber goals:

Attend special training sessions and workshops as requested.

Attend meetings and performance reviews.

Plan and agree own personal development with the Marketing Director and President/CEO including facilitating work based projects and self-learning.
